Job Description

Purpose of the Post.
• Ensure that the people of Gwynedd are at the heart of everything we do.
• Support the Senior Housing Manager to fulfil his/her responsibilities by working closely with the Senior Executive Officer within the Housing and Property Department

Responsibility for functions . e.g. staff, budgets, equipment

3 Main Duties
• Provide operational support to the Senior Housing Manager to assist him/her to undertake their role as well as operate as part of the Team that supports the work of the Housing and Property Department. This necessarily means undertaking a wide range of duties as required. These duties include the following:
• Prepare documentation, attend and report in meetings to ensure that the vision of the Housing and Property Department, including the Housing Action Plan, is moving in the right direction and continues to be viable
• Support with the process of preparing reports for the Cabinet and other political forums in accordance with the Council's internal arrangements.
• Support the Senior Housing Manager and deputise in any absences with the work of bridging cross-departmental elements to reach the aims and objectives set
• Maintain suitable arrangements to work jointly with the Housing Associations and other public partners and within the third sector in the work fields they are responsible for.
• Maintain systems to manage complaints and for teams to complete them within the specific timetables.
• Lead on coordinating responses to enquiries for information regarding services provided, including requests submitted under the Freedom of Information Act.
• Arrange monthly Information Exchange meetings ensuring that information sharing arrangements and strategic measures are in place for every session.
• Support recruitment activity for specific posts in the department.
• Represent the Senior Housing Manager in working groups, and internal and external meetings in Housing work fields, including meetings outside normal working hours as required.
• Organise, coordinate and keep minutes of the Department's managerial and corporate meetings ensuring that the action points that derive from them receive attention.
• Prepare reports for members and Senior Managers as required.
• Conduct background research work and draft reports at the request of the Senior Housing Manager including providing briefing notes to the Senior Housing Manager as required.
• Responsible for establishing a robust filing system for Strategic Housing matters.
• Take responsibility for work to identify key tendencies in various fields by providing regular support and updates and consider good practice at other establishments.
• Support the Team Managers to ensure that measures to challenge performance are prioritised and completed.
• Support the Senior Housing Manager to resolve any barriers that the teams are unable to resolve.
• Respond to correspondence and enquiries associated with projects, either verbally, by phone, e-mail or letter.
• Responsibility for self-development.
• Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council's Health and Safety Policy.
• Operate within the Council's policies in relation to equal opportunities and equality.
• Responsible for managing information in accordance with the Council's information management guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
