DescriptionThe College has an opportunity for a Registry Officer to join the Registry team, based in Llanelli. The post will see the successful applicant play a central role in the collection and supply of further and higher education data, from which the College is funded and its performance monitored. This role will involve collaboration with a range of internal and external parties in order to administer activities related to enrolment, fee collection, registration, examination and attainment; therefore meeting requirements set by Welsh Government, Joint Council for Qualifications (JCQ) and awarding organisations to name only a few.

The role of Registry Officer is a demanding one and carries significant responsibility. While the work will predominantly be centered on the Graig campus, it will also involve activities related to all seven college campuses. The successful candidate will need to demonstrate the ability to work to externally-set tight deadlines whilst ensuring accuracy and flexibility in carrying out the role.

Key ResponsibilitiesThe Registry Officerwill be expected to:
  • Work closely with the Registry Manager and curriculum areas in setting up accurate curriculum information on the College MIS.
  • Provide data to the Welsh Government (WG) via relevant funding returns in a timely manner.
  • Work with curriculum areas, management teams and MIS to identify reporting needs and develop reports where required to support performance and funding related monitoring.
  • Support MIS to further develop the college's use of Tribal as an information management system.
  • Coordinate administration relating to learner financial support on a daily basis (eg) Student Loan Company.
  • Organise and oversee the arrangements for internal and external examinations at the Graig Campus, to include accommodation, invigilation, visiting examiners, access arrangements and appeals.
  • Work closely with the Registry Officer (Registrations) to process college wide awarding body registrations.
  • Administer the needs of all relevant examination boards to include the processing of course work for marking to examiners by specified deadlines
  • Coordinate the receipt and distribution of examination results and certificates in liaison with the campus office.
  • Assist with the collection and entry of attainment data in support of funding and performance monitoring.
  • Contribute to the development of effective examination administration across the College campuses.
  • Provide advice, guidance and training in registry and examination related functions, where required.

Skills Knowledge and ExpertiseEssential Criteria:
  • Level 4 qualification or equivalent experience relevant to the post
  • Relevant experience of administration
  • Experience of databases for recording and reporting data
  • Good understanding of the Further and Higher Education sector
  • Good communicator with diplomacy and tact
  • Good interpersonal and organisational skills
  • Ability to work harmoniously with colleagues
  • Ability to work under pressure and to tight deadlines
  • Good presentational skills
  • Competence in the use of a range of IT systems and packages
Desirable Criteria:
  • Good understanding of the Further and Higher Education sector
Welsh Language Requirements:
  • Welsh Oracy (Listening/Speaking) - Level 0/1
  • Welsh Literacy (Writing/Reading) - Level 0/1
