Job description
Clerical Assistant Vacancy.
The Governing Body is seeking to employ a Clerical Assistant to join the school's busy support staff team. Experience in a similar role would be of benefit but is not essential. The post requires flexibility as no two days are the same. The school reception area is busy and the postholder will need to be prepared and happy to work in a fast-paced environment.
Welsh language is desirable.
This post will work under direction/instruction, undertaking routine clerical,
administrative and financial tasks following established procedures.
Work is delegated to this post and priorities are determined by a supervisor.
Reception:
Undertake reception duties: help to create a pleasant welcoming atmosphere;
receive visitors, deliveries/goods, dealing with associated administration (security badges, signing delivery notes).
Deal with routine enquiries.
Office duties:
Handle incoming mail and distribute as appropriate.
Handle outgoing mail, franking, posting, maintaining records of postage.
Deal with telephone enquiries, take messages and pass on as appropriate.
Undertake routine clerical activities/duties, e.g. photocopying, filing, emailing,
completing routine forms.
Use of all school systems - SIMS, Class Charts & Microsoft packages.
Distribute documents and materials within the school.
Financial:
Undertake routine financial administration.
Records:
Maintain /input /update / retrieve information, data and records using computer or manually, following set routines.
Collate reports, under direction.
Other:
Assist with arrangements for visits.
Assist with pupil welfare/first aid, liaising with parents.
Stand in for the school admin officer, but would not be expected to cover the
full range of duties.
Qualifications:
Educated to at least GCSE level (or equivalent) in English, Welsh if required
and Maths to be able to create letters and maintain records.
Able to carry out routine tasks.
Able to carry out instructions from others.
Able to compile simple messages.
Understand and able to use relevant technology and has keyboard/word
processing skills.
Able to identify straightforward solutions to simple problems.
Applies ideas/concepts created by others.
