Job Description

Purpose of Post

• Ensure that the people of Gwynedd are at the centre of everything we do.
• Undertake administrative requirements of the Education Catering and Cleaning Service that effective systems are in place to ensure a quality administration.
• Assist and collaborate with the team to ensure that the highest possible standards of customer care are achieved.

Responsibility for Resources. e.g. staff, budgets, equipment

• Administrative equipment.
• Raise, process and track invoices.

Main Duties

Ensure high-level operational and administrative support for the Education Catering and Cleaning Service, establishing effective systems to ensure a quality administration to the following requirements:
• Arranging meetings, events and training for the workforce, preparing agendas, collecting and distributing information, letters and reminders.
• Attend an extensive range of meetings across the Service and with wider stakeholders, keeping detailed and accurate minutes as well as tracking progress against any actions and decisions.
• Responsibility for providing reports for a range of different audiences as required.
• Responsibility for drawing up responses to correspondence at the request of the Managers, Deputy Managers, Business Officer or Team Leaders as required.
• Support the communication method with Service staff, using communication systems such as Blackberry ATHoc to send collective messages when appropriate.
• Assisting with marketing all the Service's work by ensuring regular publicity campaigns such as:
- Regular updates to the website and social media.
- Create statements and/or newsletters.
• Provide high-level operational and administrative support for all Service staff (this could mean working from other sites at times)
• Provide specific operational support to Team Leaders with matters arising in their areas, including an initial response to stakeholder enquiries regarding complaints and enquiries, offering guidance and advice and ensuring a resolution.
• Responsibility to prioritise work effectively to meet clear deadlines whilst having the flexibility to be able to respond to matters that arise at the time.
• Responsible for undertaking various task and finish requirements to support all of the Service's field at the Manager's request.
• Collaborate with the Business Officer, tracking budgets as well as creating financial monitoring reports as required.
• Contribute to the work of monitoring policies.
• Responsible for inputting databases and ensuring the quality of the data.
• Fulfil the Service's monitoring requirements by working alongside the Business Officer.
• Assist the Business Officer to ensure that financial and performance reports are submitted to the Service Manager regularly.
• Responsibility for ensuring correct and consistent understanding in using the Service's new data systems.
• Co-ordinate responses to Data Protection Act and Freedom of Information Act requests.
• Responsible for self-development.
• Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council's Health and Safety Policy.
• Operate within the Council's policies in relation to equal opportunities and equality.
• Responsibility for managing information in accordance with the Council's information management standards and guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
• Commitment to reducing the Council's carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council's carbon footprint;
• Undertake any other reasonable duty which corresponds to the salary and responsibility level of the post.
• Responsible for reporting any concern or suspicion that a child or vulnerable adult is being abused.
